Shadow View Estates HOA Accounting

Privacy notice

This notice applies to the Shadow View Estates HOA Accounting connector, not to the HOA's entire website or Intuit's services.

Purpose and access. Authorized HOA representatives use the connector to read the association's QuickBooks company information and financial reports. Reports may contain names, balances, or other personal information already present in the association's books. Access is limited to information needed for the representative's requested accounting task.

Storage. The connector runs on the authorized representative's Windows computer. Connection credentials, refresh tokens and company identifiers are protected with Windows encryption tied to that Windows user. The connector does not keep a separate database of accounting records. Its diagnostic log records operation types, status codes and Intuit request identifiers, without credentials or accounting response bodies. Reports deliberately saved by an authorized user are separate HOA records.

AI and other service providers. When an authorized representative requests AI analysis, relevant report information is processed by the AI service used for that task, such as OpenAI or Anthropic. Model-training and data-sharing settings must be disabled before using actual HOA records. The association does not use QuickBooks data to train models, sell data, or advertise. Assistant conversation and file retention are governed by the selected service and account settings. Representatives should share only information needed for the task.

Hosting. Cloudflare Pages hosts these public information pages and the HTTPS sign-in callback. The callback forwards Intuit's sign-in response to the local connector without storing it in an application database. The site has no application analytics or custom request logging. Cloudflare may process service and security metadata under its own policies. Accounting reports and saved connection credentials remain off the public site.

Control and requests. An authorized QuickBooks administrator can disconnect the app in QuickBooks. Disconnecting ends future access; it does not delete accounting records in QuickBooks. Contact Jeremy Courtney at jeremy@andycourtney.com for help, access questions, or deletion of connector-held information. Separately retained HOA records and assistant conversations must be handled in their respective systems and remain subject to applicable retention requirements.

Security. Access is restricted to authorized users, connections to Intuit use HTTPS, and secrets are excluded from logs. Suspected unauthorized access should be reported promptly to the contact above. This notice will be updated if the app's functions, providers, or data practices change.
